The Showing Register – Grandstand Media Limited

This is an exciting opportunity for an experienced and motivated Co-Ordinator to join Grandstand Media Limited (GML) and play an important role within The Showing Register (TSR).

Grandstand Media is a team of specialists with extensive experience in planning, organising and delivering equestrian events. Most notably, GML has organised the Horse of the Year Show (HOYS) since 1997. Held at the NEC Birmingham, HOYS now welcomes more than 60,000 visitors each October and forms part of the CSI3* international show. The British Showjumping National Championships and Stoneleigh Horse Show were added to the company’s portfolio in 2015.

The Showing Register joined the GML portfolio in 2022 and has continued to develop and grow. TSR has established itself within the showing industry through its membership programme, professionally run shows, clinics and initiatives supporting amateur and home-produced competitors.

With plans for continued growth, TSR is looking for an experienced, organised and enthusiastic individual to help drive the business forward and contribute to its future direction.

This is a varied role combining membership administration, database management, marketing, website and social media, customer engagement and event delivery. 

Role Purpose

The role will suit a proactive and highly organised individual who can bring strong administrative, membership, marketing and event-management skills to the team.

The primary focus will be to co-ordinate TSR membership, maintain and develop the membership database, support the delivery of shows and clinics, and manage associated administration, website content and marketing activity.

The successful candidate will play an important role in ensuring TSR's digital presence and communications remain current, engaging and professional. They will be expected to identify opportunities to promote TSR, increase engagement with members and competitors, and support the continued growth and development of the business.

The ideal candidate will be commercially aware, confident using databases and digital platforms, and have a proactive approach to marketing and communications. They will be focused, forward-thinking and motivated to develop the business and consistently exceed expectations.

This is a full-time position based at the GML offices at Stoneleigh Park, Warwickshire.

The role also requires attendance at events, where the successful candidate will work alongside other GML personnel. All required event accommodation and associated expenses will be provided by the company.

Current event commitments may include:

  • Four days at NAEC Stoneleigh for TSR events

  • Up to one week at the NEC Birmingham during HOYS in October

  • Five days at NAEC Stoneleigh during August

  • Additional weekends and event days as required

Essential Skills, Experience & Characteristics:

  • Excellent administrative and organisational skills

  • Database knowledge and experience managing membership or customer databases

  • Confident using Microsoft Office and digital systems

  • Experience maintaining website content and updating web pages

  • Experience using social media platforms for business or marketing purposes

  • Ability to create, co-ordinate and schedule engaging content across website, email and social media channels

  • Strong written communication skills, with the ability to produce clear and engaging copy

  • Confident communicator in person, via telephone and email

  • Good knowledge of equestrianism in particular Showing

  • Good decision-making skills with a forward-thinking approach

  • Ability to develop and maintain relationships e.g. members, exhibitors, competitors and the public

  • Demonstrate excellent planning skills

  • Ability to work calmly under pressure and to prioritise tasks independently

  • Positive and proactive attitude

  • Strong interpersonal skills and the ability to work effectively as part of a wider team

  • Comfortable working outside during events and in an office environment

  • Good time keeping and reliability 

Desirable Qualities

  • Experience working within a membership organisation

  • Experience using CRM or membership database systems

  • Website content management experience

  • Experience with email marketing platforms

  • Event management experience, ideally within the equestrian sector

  • Experience of customer complaint or conflict resolution

  • Office management experience 

General Duties & Responsibilities:

  • Manage the day-to-day administration of the TSR department

  • Co-ordinate and maintain TSR membership records and databases, ensuring information is accurate, current and appropriately managed

  • Manage membership communications and respond to member enquiries

  • Keep the TSR website accurate, current and engaging, ensuring information is updated in a timely manner

  • Plan and schedule social media content in line with the TSR marketing calendar

  • Support the planning and delivery of TSR shows, clinics, competitions and training events

  • Understanding of rules and regulations relating to Equestrian Showing

  • Co-ordinate any complaints or disciplinary procedures.

  • Contribute ideas to the continued development and growth of The Showing Register

Expectations:

  • Working at events may require a minimum of 6 weekend days per annum, and you will be required to work weekend dates in support of the companies events

  • The applicant must understand the requirement for extra hours (within the basic salary contract) both prior to and during the Events.

  • Work collaboratively with staff, other partners and like-minded organisations

  • Work to administration, communication, environmental, health and safety protocols and policies to ensure that organisational systems and procedures are implemented

  •  Abide by organisational policies, codes of conduct and practice as described in the Staff Handbook

  • Support and promote diversity and equality of opportunity in the workplace

  • Treat with confidentiality any personal, private or sensitive information about individual organisations and or schemes or staff etc.

  • Carry out other associated duties as may arise, develop or be assigned in line with the broad remit of the post.

Hours of work Monday-Friday inclusive, 9:00am – 5:00pm, based at the offices at Stoneleigh Park, Warwickshire

Holiday entitlement of 20 days per annum plus bank holidays
