About Us
Lambourn Equine Vets is a busy, progressive equine veterinary practice supporting horses and riders across Eventing, Racing, and Sport Horse disciplines. We pride ourselves on exceptional client care, clinical excellence, and a collaborative team culture.
We’re now seeking a highly organised, proactive Operations Manager to take ownership of the day‑to‑day coordination that keeps our practice running smoothly. This is a central operational role working closely with the Managing Director, veterinary team, and administrative staff. It’s an ideal opportunity for someone eager to develop their management skills, shape processes, and make a meaningful impact from day one.
Key Responsibilities
Diary Leadership — Oversee the Eclipse diary to ensure clinical and administrative tasks are scheduled efficiently, maximising client service and vet productivity.
Veterinary Team Coordination — Act as the primary point of contact for vets regarding diary matters; refine daily schedules; oversee equipment diaries; ensure resources are allocated effectively.
Client & Vet Support — Handle vet queries promptly and professionally to maintain smooth operational flow.
Data & Compliance Oversight — Monitor Eclipse accounts for GDPR compliance, accuracy, and efficiency, including yard linkages and contact updates.
Preventative Care Programmes — Oversee worming programmes, vaccination reminders, and client communications to support retention and clinical compliance.
Operational Supplies Management — Maintain stationery and operational supplies for weekly use and internal meetings.
Insurance Process Management — Manage client insurance claims from receipt to settlement, ensuring KPIs are met and service quality is continuously improved.
Pharmacy Support — Assist with pharmacy operations including absence cover, stock checks, reporting, and new product coordination.
Debt Management — Apply LEV’s debt policy, manage allocated bad debts, liaise with finance, and prepare monthly debt reports.
General Administration — Produce letters, presentations, and reports; maintain accurate documentation; support wider administrative functions.
Principal Accountabilities
Client Communication Excellence — Ensure incoming calls are answered promptly and professionally.
Efficient Resource Planning — Organise diaries to minimise travel time and maximise productivity.
Team Collaboration — Maintain clear, positive communication with all members of the veterinary team.
Client Service Delivery — Provide courteous, responsive service that meets client needs.
Team Contribution — Support the wider LEV team in delivering excellent service and continuous improvement.
Candidate Profile
Education
Bachelor’s degree.
Experience & Skills
Ideally previous experience in a veterinary practice or similar operational environment.
Excellent telephone manner and confident communication skills.
Strong computer literacy, including Microsoft Office.
Familiarity with web‑based diary management systems.
Knowledge of the equestrian industry—particularly Eventing and Racing—is a distinct advantage.
Comfortable working closely with clients, Directors, Assistant Vets, and the office team.
